One of our clients, a leader in the Pharmaceutical industry, is looking for a Project Assistant for a Transformation Project. This is a 5-month contract based in Basel, Switzerland.

Job summary

We are currently looking for an energetic, dynamic, proactive, Project Assistant experienced with PMO who can support the Supply Chain Transformation Project Team and as Personal Assistant for a Team Lead in Basel.

Your tasks & responsibilities

  • Establish and the manage the team calendar ensuring a sequence of interactions, meetings and events to support the timely delivery of the project and efficient use of the project teams time and (Travel) budget
  • Documentation of inter project meetings and maintenance of a project team level RAID action log (Risk, Actions, Information and Decisions). This will require attending of a drumbeat of governance calls and proactively working with the action owners to close out open activities
  • Administration of the project team drive and folder structure
  • Administration of any project team Intranet/social media style content to ensure it is always up to date and relevant
  • Coordination of any project related major events such as town halls, all hands on, offsite meetings, conference debriefs
  • Extended support as part of the admin pool across PTS
  • Travel booking needs of the team
  • Access management to buildings and systems for any third parties e.g. contractors and or consultants who are supporting the program
  • Meeting/admin support for any visiting members of the team related to project activities
  • Support the Employee engagement lead by setting up any surveys e.g. employee, voice of customer etc. and administering and reporting findings
  • Third party spend execution, managing any PO requests the team have for venues, resources etc.

What you must have

  • +3 years of experience as Admin Assistant/ multiple years of experience in a similar role+1 year of experience in Projects
  • Experience with MS Office (Pivot a plus)
  • Experience with Google Tools
  • Strong communication skills, open minded, reliable and a team player
  • Flexible working dynamics and a hands-on attitude
  • Self-managed working attitude (very pro-active)
  • Immediate availability, starting at the beginning of August to ensure proper handover and able to support the organization of an important event in September
