Position Overview
We're looking for an Administrative Process & Billing Specialist to streamline and elevate our internal back‑office operations. In this role, you'll act as the go‑to expert for process enhancement, coordination, and commercial control-partnering closely with our COOs and department leads to ensure smooth, accurate, and efficient service delivery.

Key Responsibilities

  • Process Analysis & Enhancement
    * Map, review and document current administrative workflows
    * Identify bottlenecks and implement improvements to boost quality and turnaround times

  • Stakeholder Collaboration
    * Serve as a trusted adviser to back‑office managers and COOs
    * Field inquiries from both internal teams and senior management, offering clear guidance

  • Commercial Controlling & Billing
    * Oversee license- and contract-related cost tracking, billing cycles and invoicing
    * Generate and manage quotations, ensure correct pricing, and follow through to invoice settlement

  • Customer Communication
    * Maintain proactive telephone and e‑mail contact with clients and vendors to resolve billing or service questions
    * Ensure all interactions reflect our high standards of professionalism

Your Profile

  • Completed commercial or business‑administration training

  • At least 1-2 years' hands‑on experience in an IT or software‑driven environment

  • Proven track record in process optimization and change-management initiatives

  • Analytical thinker with the ability to "connect the dots" across teams and systems

  • Strong communicator: confident, persuasive and solution‑oriented

  • Proficient in MS Office; familiarity with Abacus (or similar ERP systems) is a plus

  • Collaborative attitude and adaptability to shifting priorities
