Executive Assistant

Experis IT Switzerland is currently on the search for an Executive Assisatnt with 2-4 years of experiene to join one of a very well-known IT companies. For this contract engagement based in Zurich, we are seeking someone who is fluent in German and English (written/spoken).

  • Language: German monther tongue and English fluent must have


* Provide administrative support to Management Board members.
* Pro-active diary management of MB's complex calendar on an ongoing basis, working across multiple time zones and 36 countries, ability to prioritize calendar based on business needs to ensure accurate scheduling.
* Plan & Coordinate domestic and international travels end to end including all logistics, itineraries, and international visas.
* Maintaining and publishing organizational charts, contact lists, org level aliases and distribution groups.
* Coordination and support for organizing internal and external events, meetings, conferences.
* Liaise with executive and senior administrative assistants regarding general requests.
* Reconciling expense reports, ensure timely processing and approvals as appropriate.
* Ownership of internal processes, including purchase ordering, tracking invoices, ordering hardware/software, American Express applications.

* 3+ years of senior level administrative experience in a fast-paced international environment.
* Completed commercial apprenticeship or equivalent
* Self-motivated, organized and efficient, with a hands-on and can-do-attitude
* Excellent Knowledge of MS O365 and Teams
* Fluent in German and English. French is a plus.

* Very confident with Microsoft O365 products and specifically with Microsoft Teams and Outlook.
* Calendar management

* Strong communication and people skills.
* Use initiative appropriate to position and demonstrates a high degree of pro-activity.
* Demonstrates ownership, tracking and follow through to resolution on all queries and issues.
* High level of integrity and ability to maintain confidentiality of highly sensitive material with tact and professionalism.
* Appreciates working in a hybrid world and is a tech-savy person
