Brief job description:

  • End-to-end responsibility for two of our flagship music sponsoring events
  • Coordination of all involved stakeholders, employees, and external parties
  • Work closely with the Global Sponsoring Project Lead
  • Negotiate contracts and manage relationships with outside vendors
  • Establish and monitor budgets and project plans
  • Coordinate with Regional Marketing and Front staff package and ticket sales
  • Organize all hospitality related issues such as internal event announcement, invitation process, aligning packages/tickets, F&B, hotel bookings, transfers, etc.
  • Coordinate and act as the point of contact for all hospitality related issues
  • Manage all budget and administrational issues in regard to these tasks individually (no additional admin or agency help)
  • Manage liaison with event host and speakers
  • The responsibility for the event execution, venue relationship management and supervision of on-site support staff
  • Ensure planning and execution within responsibility, to the highest of quality standards with the aim to continuously improve and raise the bar of customer experience
  • Able to negotiate supplier contract terms and conditions (with support from Procurement) and to ensure competitive pricing is achieved for all related supplies and services
  • The responsibility for post-event activities such as conducting a full event debrief and evaluation meeting with internal clients and reporting of event related costs, settlement of invoices, internal recharging, etc.

Required experience and skills

  • 5 years events experience in a corporate environment, ideally in the financial sector
  • "Can-do" attitude, strong project management skills but also hands-on
  • Able to quickly get acquainted with the new firm, start organizing the internal event announcements of the summer events with all necessary process steps, organizing the events (without an agency) beforehand and on-site, including all necessary post-processing tasks
  • Able to manage two major event projects in parallel
  • Professional, flexible, approachable; Excellent organizational skills and the ability to stay calm under pressure
  • Strong attention to detail and ability to prioritize effectively
  • Travelling is required in summer in Switzerland (no summer vacation in the months June until August)
  • Fluent in German and English (spoken and written)

Required trainings completed and certificates/exams

  • No trainings/schools/university degrees needed. Work experience is key!
