Project Coordinator

Are you a Project Support Officer, with 3 years prior work experience in in office coordination and management, including coordinating for senior representatives, in development and preferably in public health ? Was this experience gained within a multinational and multicultural environment and are you looking for an exciting new opportunity within a non-governmental organisation (NGO) ? If so, please have a look at the following details:

Experis IT Switzerland is currently on the search for a Project Support Officer to join one of their clients, an NGO, based in Geneva.

Your role:

You will support coordination of various relevant teams and experts, as well as external resources. In close coordination with and under guidance from other team members, s/he will ensure diplomatic communications between various people involved in evaluation projects and tasks, e.g., meeting arrangements, identifying and sharing documentations, etc. and also arrangement of a departmental meeting, e.g., travels, venues, and other logistics.

Key Responsibilities

Communication Management

  • Acts as liaison for arrangement for a meeting in Asia and related communication;
  • Support the Coordination Officer make informed decisions related to meeting arrangement;
  • Help the Coordination Officer understand needs of various stakeholders in order to facilitate arrangement;
  • Proactively organizes travel for all department members;
  • Act as communication point while team members are less available due to leaves etc. and manage responses.

Project management

  • Facilitates communication between key stakeholders;
  • Proactively coordinates communications and meeting arrangements for evaluation projects where needed;
  • Join meetings where appropriate and ensure follow-up actions from meetings
  • Identify and share documentations, etc.

To deliver the required results, it's necessary that you have:

  • Three years of experience in office coordination and management, including coordinating for senior representatives, in development and preferably in public health;
  • Three years of experience in conducting contracting processes and monitoring budgets;
  • Three years of experience in arrangement and management of logistics for meetings,
  • Good working knowledge of Microsoft programs, especially MS Word, Excel and PowerPoint or similar;
  • Knowledge of or familiarity to an enterprise resource planning (ERP) software
  • Fluency in both English and French
