Experis IT Switzerland is on the search of a Senior Administrative Assistant to join one of their clients, a well-known pharma company based in Switzerland. Duration: 12 months contract with further chance of contract extension

Location: Zürich

Workload percentage: 100%

Key Responsibilities:

  • General Administration
  • Invoice Process (review and validate incoming invoices, process invoices for payment, trouble shoot and resolve invoice issues, contact suppliers to query/resolve invoice issues, liaise with Takeda Accounts Payable and Controllers on invoice payment and administrative issues, ensure invoice payment deadlines are met, assignment of POs and acceptance of invoices in ARIBA)
  • Purchase Order Process
  • Manage vendor set ups in ARIBA
  • Budget/MRP/MYC support
  • Contract Administration
  • Support correspondence and communications with suppliers and external 3rd parties
  • Parking Management
  • Support in the cooperation between company's catering suppliers and end users, trouble shooting, answering queries, and resolving catering issues
  • Meeting room bookings
  • Stationery and Printed Matter
  • Reception Back-up Coverage

Your Skills:

  • 3-5 years of experience in commercial domain - commercial training, invoices handling, PO and budget, facility management
  • Experience in international environments
  • Excellent skills in relevant PC tools including MS office, SharePoint and web content management
  • German and English language fluency (written and verbal)
  • Excellent communication and organizational skills
  • Structured, detail-oriented, and highly accurate working style
  • Comfortable operating in a dynamic international corporate environment
